This Privacy Policy explains how Johndorf Ventures Corporation (“Johndorf,” “we,” “us,” or “our”) collects, uses, shares, retains, and protects personal information when you interact with our website at
johndorfventures.com, our Customer Portal, our Seller Portal, and our reservation flow. We are committed to processing your personal information in accordance with Republic Act No. 10173 (the Data Privacy Act of 2012), its Implementing Rules and Regulations, and the issuances of the National Privacy Commission (NPC).

1. Who We Are

Johndorf Ventures Corporation is a Philippine real estate developer with its principal office at 19th Floor Johndorf Tower, Mindanao Avenue, Cebu Business Park, Cebu City, 6000, Cebu, Philippines. For purposes of the Data Privacy Act, Johndorf is the Personal Information Controller (PIC) of the personal data described in this Policy.

2. Scope of this Policy

This Policy covers personal information collected through:

  • Our public website, including newsletter sign-up, Contact Us, Buyer’s Guide, and other inquiry forms;
  • The Customer Portal, used by buyers to view reservations, billing, and account information;
  • The Seller Portal, used by accredited sellers, brokers, and sales agents;
  • Our reservation flow, used to submit reservation requests for selected units and projects;
  • Our internal CRM system, which holds buyer, lead, reservation, and transaction records; and
  • Other online and offline interactions where you provide personal information to Johndorf in connection with our products and services.

3. Definitions

The following terms have the meanings given to them in the Data Privacy Act:

  • Personal information — any information from which the identity of an individual is apparent or can be reasonably and directly ascertained.
  • Sensitive personal information — information about an individual’s race, ethnicity, marital status, age, religious or political affiliations, health, education, genetic or sexual life, government-issued identifiers (such as TIN, SSS, GSIS, Pag-IBIG, PhilHealth, driver’s license, passport), and any information classified as sensitive under the law.
  • Processing — any operation performed on personal information, including collection, recording, organization, storage, updating, retrieval, consultation, use, consolidation, disclosure, transmission, blocking, erasure, or destruction.
  • Data Subject — the individual whose personal information is processed.

4. Personal Information We Collect

4.1 From website visitors and inquirers

  • Name, email address, mobile or landline number;
  • Inquiry message and any information you voluntarily include in Contact Us forms or newsletter sign-up;
  • Technical data such as IP address, browser type, device identifiers, pages visited, and time stamps, collected through cookies and similar technologies.

4.2 From Customer Portal users (buyers and reservees)

  • Full name, date of birth, civil status, citizenship, gender;
  • Complete address (present and permanent), email, mobile and landline numbers;
  • Government-issued identification numbers (TIN, SSS, GSIS, etc.);
  • Employment, business, and source-of-funds information, including employer name, position, length of service, monthly income, and supporting documents;
  • Spouse, co-borrower, and beneficiary information where applicable;
  • Reservation, contract, billing, payment, and amortization records;
  • Account credentials (username and password) for the Customer Portal.

4.3 From Seller Portal users (brokers, sales agents, accredited sellers)

  • Full name, contact details, and government-issued IDs;
  • PRC license number (for licensed real estate brokers and salespersons), DHSUD accreditation, and other professional credentials;
  • Bank account details and tax information for commission processing;
  • Sales performance, accredited team membership, and assigned leads;
  • Account credentials for the Seller Portal.

4.4 From the reservation flow

All information needed to process a unit reservation, including buyer details, selected project and unit, reservation fee payment information, and any supporting KYC documents.

4.5 From our CRM

Our CRM consolidates the information described above into a single record per buyer, lead, or seller, together with internal notes, lead status, follow-up history, communications log, and documents uploaded in connection with a reservation or sale.

5. How We Collect Personal Information

  • Directly from you when you submit a form, register on a portal, make a reservation, sign a contract, or communicate with our sales, customer service, or finance teams;
  • Automatically through cookies and similar technologies when you use our website and portals (see Section 11);
  • From third parties such as accredited brokers, banks, Pag-IBIG, our affiliates, and authorized representatives, where you have authorized them to share your information with Johndorf or where such sharing is otherwise permitted by law.

6. Purposes for Which We Use Personal Information

We process personal information only for legitimate, declared, and specified purposes, including:

  • Responding to inquiries and providing requested information on properties, projects, and financing options;
  • Processing reservations, sales contracts, and related transactions;
  • Verifying identity and conducting Know-Your-Customer (KYC), Anti-Money Laundering (AMLA), and credit assessment checks;
  • Coordinating loan applications and accreditation with Pag-IBIG Fund and partner banks;
  • Managing accounts, billing, collection, statements, and after-sales service;
  • Managing broker and sales-agent accreditation and computing commissions;
  • Operating, maintaining, and improving the website, portals, and CRM;
  • Sending administrative, transactional, and marketing communications about Johndorf projects and offers, subject to your consent and right to opt out;
  • Complying with legal, regulatory, tax, and reportorial obligations, including those imposed by the NPC, BIR, SEC, DHSUD, AMLC, and other government agencies;
  • Establishing, exercising, or defending legal claims; and
  • Other purposes for which we obtain your separate consent.

7. Legal Bases for Processing

We rely on one or more of the following lawful bases under the Data Privacy Act:

  • Your consent, including consent given when you submit a form, accept a reservation agreement, or tick a consent box on a portal;
  • Performance of a contract to which you are a party, such as a Reservation Agreement, Contract to Sell, or Deed of Absolute Sale;
  • Compliance with a legal obligation;
  • Protection of vitally important interests;
  • Response to a national emergency, public order, or safety, in accordance with law; and
  • Legitimate interests pursued by Johndorf or by a third party, except where such interests are overridden by your fundamental rights and freedoms.

For sensitive personal information, we rely primarily on your consent or on processing authorized by law, including specific laws governing real estate, taxation, and AMLA compliance.

8. How We Share Personal Information

We share personal information only with parties who have a legitimate need to receive it and who are bound by appropriate confidentiality and data protection obligations. Recipients may include:

  • Pag-IBIG Fund, partner banks, and other financing institutions, in connection with loan applications and amortization;
  • Accredited brokers, sales agents, and external sales partners assigned to your account;
  • Affiliates and subsidiaries of Johndorf, where necessary for related real estate and property management services;
  • Service providers acting as Personal Information Processors on our behalf, such as cloud hosting providers, CRM and email service providers, payment processors, document couriers, and IT support vendors;
  • Government authorities, regulators, courts, and law enforcement agencies, where required by law, subpoena, or other lawful process;
  • Professional advisers (lawyers, auditors, consultants) under a duty of confidentiality; and
  • Counterparties to a corporate transaction (such as a merger, reorganization, or sale of assets), subject to appropriate safeguards.

We do not sell personal information.

9. Data Retention

We retain personal information only for as long as is necessary to fulfill the purposes for which it was collected, including any related legal, accounting, tax, regulatory, or reporting requirements. As a general rule:

  • Inquiry and lead records are retained for up to five (5) years from last contact, unless converted into a reservation or sale;
  • Reservation, sales, and contract records are retained for at least ten (10) years from full payment, turn-over, or termination of the contract, whichever is later, in line with property, tax, and AMLA requirements;
  • Broker and seller accreditation records are retained for the duration of accreditation and for at least five (5) years after termination;
  • Portal account information is retained for as long as the account is active, plus a reasonable period afterward to address disputes and legal claims; and
  • Marketing preferences and opt-out records are retained for as long as we communicate with you for marketing purposes.

After the applicable retention period, personal information is securely deleted, destroyed, or anonymized in accordance with our Records Retention and Disposal policy.

10. Your Rights as a Data Subject

Subject to the conditions and limitations of the Data Privacy Act, you have the right to:

  • Be informed about the processing of your personal information;
  • Access your personal information held by Johndorf;
  • Object to the processing of your personal information, including for direct marketing;
  • Correct or rectify inaccurate or outdated personal information;
  • Request the erasure or blocking of personal information, subject to legal retention obligations;
  • Data portability, where applicable;
  • File a complaint with Johndorf’s Data Protection Officer and, where unresolved, with the National Privacy Commission; and
  • Be indemnified for damages sustained due to inaccurate, incomplete, outdated, false, unlawfully obtained, or unauthorized use of personal information.

11. Cookies and Similar Technologies

Our website and portals use cookies and similar technologies to operate properly, remember your preferences, measure traffic, and improve our services. Cookies we use include:

  • Strictly necessary cookies, required for login, session management, and security;
  • Performance and analytics cookies, which help us understand how visitors use the website;
  • Functionality cookies, which remember your preferences such as preferred location; and
  • Marketing cookies, where you have given consent, used to deliver relevant ads and measure campaign effectiveness.

12. Data Security

Johndorf has implemented organizational, physical, and technical security measures to protect personal information against accidental or unlawful destruction, alteration, disclosure, or any other unlawful processing. These include:

  • Role-based access controls, strong authentication, and password policies for the CRM and portals;
  • Encryption of data in transit (HTTPS/TLS) and, where appropriate, at rest;
  • Regular security assessments, vulnerability management, and patching;
  • Employee training, confidentiality undertakings, and acceptable-use policies;
  • Vendor due diligence and Data Sharing or Outsourcing Agreements with Personal Information Processors; and
  • Incident response and breach notification procedures consistent with NPC Circular 16-03.

While we take reasonable steps to safeguard your information, no system can be guaranteed to be completely secure. You are responsible for keeping your portal credentials confidential and notifying us promptly of any suspected unauthorized use of your account.

13. Cross-Border Transfers

Where we use service providers or technology platforms that store or process personal information outside the Philippines, we ensure that the transfer is covered by appropriate safeguards, such as Data Sharing or Outsourcing Agreements that impose obligations comparable to those required by the Data Privacy Act. If your personal information is not transferred outside the Philippines, this Section will not apply to you.

14. Children’s Privacy

Our website, portals, and reservation flow are intended for individuals who are at least 18 years old. Where a property is purchased for the benefit of a minor (such as a beneficiary), the personal information of that minor is provided and processed under the consent and authority of the parent or legal guardian.

15. Changes to this Privacy Policy

We may update this Privacy Policy from time to time to reflect changes in our practices, technology, legal requirements, or other factors. The updated version will be posted on our website with a new effective date. Material changes will be notified to registered Customer Portal and Seller Portal users through the portal or by email.
